UrbanPiper Integration Guide for Kayana Partner Admin

This guide explains the process for enabling and configuring the UrbanPiper integration through Partner Admin.
UrbanPiper is an integration platform that connects your Kayana system with multiple online delivery platforms through a single interface. By integrating UrbanPiper with your Kayana Partner Admin account, you can manage menus and sync store data with delivery platforms more efficiently.
Step 1: Contact the Kayana CSR Team
To begin the UrbanPiper integration process, partners must first contact the Kayana CSR team via WhatsApp.
The CSR team will coordinate directly with UrbanPiper on your behalf.
Step 2: UrbanPiper Onboarding Form
After being contacted, the UrbanPiper team will provide an onboarding form.
The Kayana CSR team will complete and submit this form on behalf of the partner.
Once the form is processed, UrbanPiper will provide the following:
- UrbanPiper API Key
- Atlas Account (UrbanPiper Dashboard Access)
The Atlas account is UrbanPiper’s management dashboard where your connected store and platform integrations are maintained.
Step 3: Log in to Partner Admin
Log in to your Kayana Partner Admin account:

Step 4: Navigate to Integrations
- From the Partner Admin dashboard, go to the left-hand sidebar.
- Click Settings.
- In the Settings grid, select Integrations.

Step 5: Enable the UrbanPiper Integration

Inside the Integrations section:
- Locate UrbanPiper Integration.
- Confirm that your UrbanPiper subscription is active. It not, you will see a Subscribe button. Click the button to subscribe to UrbanPiper.
- Enable the toggle button to activate the integration.
Once enabled, a toast notification will appear confirming that UrbanPiper integration has been enabled for your account.
Step 6: Add the UrbanPiper API Key
- Locate the API Key field next to the Edit API Key option.
- Enter the UrbanPiper API Key provided by UrbanPiper.
- Click Update Platform.
Step 7: Create Stores

- Select the checkboxes next to the relevant stores which you wish to integrate.
- Click Create Store.

When stores are created here:
- The stores will also be automatically created on your UrbanPiper Atlas account.
- This Atlas account acts as your UrbanPiper store management dashboard.
Step 8: Sync Menu with UrbanPiper
Now you can begin syncing your menu.

Navigate to Item Management
- Go to the Partner Admin dashboard.
- Select Product Management.
- Click Item Management.
Because UrbanPiper is now configured, you will see a Sync UrbanPiper button.
Step 9: Sync Menu Changes
- Click Sync UrbanPiper to push your menu data to UrbanPiper.
- The sync process may take a few moments to update across connected platforms.
Important: Always use the Sync UrbanPiper button whenever menu changes are made.
Step 10: Edit Menu Items for UrbanPiper
- From the Menu dropdown, select the menu you want to edit.
- Open the menu and click Edit on the item you want to update.
Step 11: Enable UrbanPiper Item Availability

On the Edit Item page:
- Scroll down to Item Availability & Access Control.
- Locate the UrbanPiper Availability toggle.
- Enable the toggle if the item should be available through UrbanPiper.
Step 12: Save Changes
- Scroll to the bottom of the page.
- Click Update Item.
You will receive a toast notification confirming “Item Updated.”
Any updates made here will be automatically reflected in your UrbanPiper Atlas account, ensuring the menu stays synced across connected platforms.
Step 13: Enable Supported Platforms

Next to complete the configuration, go back to the integrations screen (Settings → Integrations → UrbanPiper → Supported platforms)
- Click Supported Platforms.
- Toggle ON the platforms for which you want to activate the stores.
A toast notification will confirm when a platform has been successfully enabled.
At this stage, UrbanPiper is successfully configured with your Partner Admin account.
