Reviewing your Orders under Analytics & Reports in Kayana Partner Admin

- Login to your Partner Admin account using your credentials.
- From the left-hand sidebar, click on Analytics & Reports.
- Click on Orders
The Orders sub-module is the second section under Analytics & Reports. It gives you a complete, at-a-glance view of all orders placed across your property — covering payment status, fulfilment status, order value, and the channel through which the order was received. You can filter, search, and export this data as needed.
Filters & Controls
At the top of the page, there is a filter bar with several options to help you narrow down the orders you want to see.
Filter By A dropdown field on the left-hand side of the filter bar. Use this to apply a category-based filter to the order list. Click the dropdown to see the available filter options and select the one relevant to what you are looking for.
From (Date Picker) Sets the start date of the date range you want to view. Click the calendar icon inside the field to pick a date, or type it directly. By default, this is set to the start of the current financial period (e.g., 01-04-2026).
To (Date Picker) Sets the end date of your date range. It works together with the From field to define the time window for which orders are displayed. By default, it is set to today's date (e.g., 05-06-2026).
Search By A dropdown that lets you choose which field you want to search within — for example, by order number or another supported attribute. Always select the appropriate option from this dropdown first, before typing in the search bar.
Search Bar The text input field with a magnifying glass icon, positioned to the right of the Search By dropdown. Once you have selected what you want to search by, type your search term here. The table will update dynamically to show matching results.
Clear Filters Clicking this button resets all active filters — the date range, the Filter By selection, the Search By selection, and the search term — back to their defaults. Use this whenever you want to go back to viewing the full, unfiltered order list.
Toolbar Buttons (Top Right)
Columns The Columns button (with a grid icon) lets you control which columns are visible in the table. Click it to toggle individual columns on or off, so you can customise the view to show only the information that is relevant to you.
Download CSV The Download CSV button exports the current order list as a CSV file. This is useful for record-keeping, sharing data with your team, or carrying out further analysis in a spreadsheet tool like Excel.
Orders Table
Below the filter bar is the main orders table. Each row in the table represents one order. Here is what each column displays:
Order # The unique reference number assigned to each order (e.g., 1016925). You can use this to identify or look up a specific order.
Payment Status Shows the current payment status of the order, displayed in two parts — the status label on top and the payment gateway (e.g., STRIPE) shown as a small coloured tag just below it. The statuses you see include:
- Payment Initiated — the payment process has been triggered but not yet confirmed or completed
- Paid — the payment has been successfully processed and received
- Payment Cancelled — the payment was stopped or abandoned before it could be completed
Status Shows the current fulfilment status of the order — that is, what stage the order is at in terms of preparation and delivery. The statuses visible in the table include:
- Order Placed — the order has been received and is awaiting processing
- Order Handed Over — the order has been prepared and passed on for delivery or collection
- Cancelled — the order has been cancelled and will not be fulfilled
Date & Time Displays when the order was placed. The time (e.g., 06:50) appears on the first line, and the date (e.g., 23 Apr 2026) appears directly below it.
Total The total value of the order, shown in GBP (e.g., £100.99). Totals are displayed in bold for easy reading.
Order Source Indicates the channel through which the order was placed. The two sources visible in the table are:
Actions The final column contains a View button for each order. Clicking View opens the full order details page for that specific order, where you can see a complete breakdown of the items ordered, customer information, and any other relevant details.
