How to Access and Assign Customer Discounts in Kayana Partner Admin

This guide explains how to assign exclusive discounts to individual customers or marketing lists in Kayana Partner Admin. Customer Discounts are applied automatically at checkout — no promo code is needed from the customer. The process is completed across three steps: Select Target, Discount Details, and Review & Assign.
Step 1. Log in to Kayana Partner Admin using your credentials.
Step 2. From the left-hand sidebar, select Settings.
Step 3. Select Discounts.
Step 4. Click Customer Discounts. The Customer Discounts screen will open. Click the Assign Discount button to begin.
Step 1 — Select Target
The Assign Exclusive Discount screen will open, showing a 3-step progress bar at the top: Select Target → Discount Details → Review & Assign.
Step 5. Under Assign to, choose who this discount should be assigned to. You can only select one type per assignment:
Option A — Individual Customer Select Individual Customer to assign the discount directly to a specific customer profile. A list of customers will appear below. Select the customer you want to assign the discount to.
Option B — Marketing List Select Marketing List to apply the discount to all customers in a marketing segment. A list of available marketing lists will appear below. Select the marketing list you want to assign the discount to.
Step 6. Once you have selected the target, click Next to proceed to Step 2.
To cancel without saving, click Cancel.
Step 2 — Discount Details
The Discount Details screen will open. Fill in the required fields:
Discount Code A unique discount code is auto-generated for you (e.g. CUST-D8AVCV). This code is for internal use only and is not visible to the customer. You can click the refresh icon to auto-generate a new code.
Discount Name Enter a name for the discount (e.g. "Spring Discount", "Corporate 10% Off"). This is for internal reference.
Discount Type Select the type of discount from the dropdown:
- Fixed — deducts a fixed amount from the order total
- Percentage — deducts a percentage from the order total
Discount Voucher Type Select the voucher type from the dropdown:
- Normal — a standard discount with no restrictions
- Threshold — activates after a specified spend amount
- Usage Limited — limits the number of times the discount can be used
- First Order — applies to the customer's first order only
Discount Value (£) Enter the discount amount or percentage value depending on the Discount Type selected.
Minimum Order Amount Enter the minimum order value required for this discount to apply. Leave blank if there is no minimum.
Voucher Value (Allocated Amount) Enter the allocated voucher amount. The Remaining Value field below this will auto-populate based on the value entered.
Discount Pin Enter a 4-digit PIN to restrict manual application of the discount on EPOS. This field is optional.
Select Platform Select the platform this discount applies to. At least one platform must be selected.
Discount Start Date Select the date from which this discount becomes active. Defaults to today's date.
Discount End Date Select the date on which this discount expires. The discount is valid between these dates and expires automatically.
Step 7. Once all details are filled in, click Next to proceed to Step 3.
To go back to Step 1, click Back. To cancel without saving, click Cancel.
Step 3 — Review & Assign
The Review & Assign screen will display a full summary of your configuration before the discount is assigned.
Step 8. Review the following details carefully:
Target(s) — displays the customer or marketing list this discount will be assigned to.
Discount Details — displays a summary table of all discount details including:
- Discount Code
- Name
- Type
- Voucher Type
- Value
- Minimum Order Amount
- Platform(s)
- Start Date
- End Date
- PIN
Step 9. If everything is correct, click ✓ Assign Discount to confirm and assign the discount.
To go back and make changes, click Back. To cancel without saving, click Cancel.
Once assigned, the discount will be applied automatically at checkout for the selected customer or marketing list. No promo code entry is required from the customer.
