How to Place and Manage a Collection Order on your Kayana EPOS

Collection orders let customers place their food or drinks in advance and pick them up later.

This guide walks you through the full process — from creating a collection order, adding items, choosing payment options, and finally completing the order when the customer arrives.

Step 1: Select Collection on the Home Screen

1. On your Kayana EPOS home screen, tap Collection.
2. This tells the system the order is for pick-up, not dine-in or delivery.

Step 2: (Optional) Add Customer Information

You can add the customer’s name and phone number.

• Why it helps:
• Makes it easier to identify orders when several orders are in waiting.
• Lets you contact the customer if there’s a delay or issue.
• Speeds up repeat orders from regular customers.

This step is optional, so you can skip it if you prefer.

Step 3: Add Items to the Order

1. Browse the on-screen menu.
2. Tap items to add them to the order.

When finished, tap Checkout to continue.

Step 4: Choose a Payment Option

At checkout, you’ll see two options:

Pay Later

• The order is immediately sent to the kitchen for preparation.
• The customer pays when they arrive.
• The order will be stored in Open Orders.

Save Order

• The order is saved in the system and sent to the kitchen.
• The customer can pay when they arrive.
• The order will appear in Saved Orders.

Note: Both options send the order to the kitchen — the difference is how the EPOS stores the order for later payment.

Step 5: Complete the Order When the Customer Arrives

1. When the customer comes to collect, open either Open Orders or Saved Orders, depending on how you set it up.
2. Select the customer’s order.
3. Tap Checkout to process payment and complete the transaction.
4. The order will automatically move to Order History once finalized.

That’s it! You’ve successfully placed and completed a collection order using your Kayana EPOS. This process ensures the kitchen starts preparing right away while giving the customer flexibility to pay when they arrive.
