Setting Up Your Kayana EPOS System

If you’ve just received your Kayana EPOS, this guide will walk you through unboxing, unpacking, connecting, and setting up your EPOS system — including the EPOS device, printer, cash drawer, and card terminal.

Whether you’re using the 16″ Dual Screen EPOS (countertop) or the 10″ Portable EPOS, follow the steps below to get up and running smoothly.

1. Open the Box – What’s Included

Before starting, open the box and check that all items are present.

Your Kayana EPOS package should include:

• Kayana EPOS device (16″ Dual Screen or 10″ Portable)
• Power cable and adapter
• Ethernet cable
• USB thermal printer (If purchased)
• Card terminal (If purchased)
• Cash drawer (If purchased)
• QR or barcode scanner (If purchased)

If anything is missing, contact Kayana Support before continuing.

2. Unpack and Position Your Devices

Carefully unpack all components and place them where they’ll be used during service.

Recommended positioning:

• EPOS device within easy reach of staff
• Printer close enough for USB connection
• Cash drawer beneath the counter (if used)
• Card terminal accessible to customers

Ensure all devices are near a power socket and internet connection.

3. Plugging In & Power Requirements

Kayana EPOS requires:

• Power
• Internet connection

⚠️ A wired Ethernet connection is strongly recommended for stability.
Wi-Fi can be used but may be unreliable during busy service.

4. Set Up and Power On the EPOS

Connect Power

• Plug the power cable into the EPOS device
• Connect the adapter to a wall socket
• Switch the socket on

Turn On the Device

• 16″ Dual Screen EPOS:
  Press and hold the power button underneath the main screen for 2 seconds
• 10″ Portable EPOS:
  Press and hold the power button on the side of the device

The screen will power on and begin loading.

5. Connect to the Internet

Option A: Ethernet (Recommended)

1. Plug the Ethernet cable into the port on the underside of the EPOS
2. Connect the other end to your router
3. The connection will be detected automatically

Option B: Wi-Fi

1. On the home screen, open Settings
2. Select Wi-Fi
3. Choose your network and enter the password

6. Starting the Kayana EPOS App

Once the device finishes loading, you’ll briefly see TeamViewer.

• TeamViewer allows Kayana to remotely support your device
• To close it:
• Swipe up to reveal the taskbar
• Tap Home

⚠️ Do not disable the Assigned Device setting.

The Kayana EPOS app will appear and is set to auto-launch.
If closed, it will reopen automatically after ~10 seconds.

7. Set Up the Printer

1. Plug the printer into power and switch it on
   (green indicator light should appear)
2. Load the paper roll correctly
   (paper feeds from the bottom of the roll)
3. Connect the printer to the EPOS using the USB cable
4. On EPOS, go to:
   More → Settings → Printer Settings → Connect USB Printer
5. Select the printer and tap Test Print

If the test print works, the printer is ready.

8. Connect the Cash Drawer (Countertop Only)

1. Ensure the printer is already connected
2. Take the cash drawer cable (RJ11-style)
3. Plug it into the port at the back of the printer

⚠️ Do not connect the cash drawer directly to the EPOS.

The drawer will now open automatically for cash transactions.

9. Set Up the Card Terminal

General Pairing Steps

1. Power on the card terminal
2. Ensure it’s connected to the internet
3. On EPOS, go to:
   More → Settings → Card Reader
4. Select your card reader from the list
5. Match the serial number shown on screen with the one on the device
6. Confirm pairing

Once paired, the terminal is ready to accept payments.

BBPOS WisePad 3 (If Applicable)

• Connect the reader using the USB-C cable to the white USB port
• Power on the reader
• Allow location permissions when prompted
• Wait for the reader to be discovered (5–6 seconds)
• Select Card Reader from the Connections screen
• A green tick confirms successful connection

Your Kayana EPOS system is now fully set up.

You can now:

• Take dine-in, takeaway, delivery, and collection orders
• Accept card and cash payments
• Print receipts and order tickets
• Start service confidently from day one
