Navigating the Kayana KDS Application: Features and Settings Overview

This guide explains how to navigate and use the Kayana Kitchen Display System (KDS) application, including the main landing screen, order view, and key settings that help kitchen staff manage orders efficiently.

On the main landing screen, you will see a hamburger menu in the top-left corner. This opens the order summary panel and displays active orders.

At the top of the screen, there are filter tabs that allow you to view orders by type: Delivery, Dine In, Takeaway, Collection, or All.

On the top-right side, you can see the system time, notification icon, printer status icon, and the settings icon.

In this screen, there are currently no active orders, which is indicated by the empty display.

When an Order Is Received

When an order is received, it is automatically displayed on the KDS landing screen with a reference number, a list of items and a timer indicating time elapsed since the order placement, allowing kitchen staff to quickly identify and begin preparing the order.

Settings icon

Settings Screen

Selecting the settings icon opens a new screen with four tabs:

  1. General Settings
  2. System & Connectivity
  3. Notifications
  4. Display Settings

General Settings

The General Settings tab allows you to configure basic system preferences, including receipt font size, language, and order display options.

You can manage the following toggle settings:

  • Show Menu Orders – Displays full menu item details on orders
  • Auto Print for Receipts – Automatically prints receipts when orders are received
  • Auto Print for Labels – Automatically prints kitchen or packaging labels
  • Night Mode – Enables dark mode for low-light environments
  • Sort with Reference Number – Organises orders by reference number

This section also includes timer controls for managing order preparation times.

Systems & Connectivity

The System & Connectivity tab shows your connected devices and printer status.

Here, you can view and review connections for:

  • Thermal printers
  • Label printers

This screen also provides the following options:

  • Update – Syncs the device with the latest changes from Partner Admin
  • Restart – Restarts the device to apply updates and resolve system issues

Notifications

The Notifications tab allows you to manage how order alerts are received. These settings can also be accessed quickly using the notification shortcut on the main landing screen.

On this screen, you can:

  • Enable or disable notifications
  • Turn notification sounds on or off
  • Choose whether notifications appear as bubble alerts
  • Adjust the notification volume
  • Select a sound type from the dropdown menu (choose from available ringtones)

The Display Settings tab allows you to customise how orders and information are shown on the KDS screen.
