Guide: Creating and Managing Events on Kayana Tickets

This guide walks you through the process of setting up and managing events on Kayana Tickets, our new dedicated ticketing platform. Customers can browse and purchase these tickets at book.kayanatickets.com.

Step 1: Access the Partner Admin

Log in to the Kayana Partner Admin using your credentials:

Step 2: Navigate to Kayana Ticketing

From the main dashboard, locate and click on Kayana Ticketing in the left-hand sidebar menu.

Step 3: Dashboard Overview

The Ticketing Dashboard is split into two primary sections:

  • Recent Orders: This tab displays a live feed of the most recent ticket purchases, allowing you to track sales as they happen.
  • Events Tab: This provides a high-level summary of your current events:
    • Issued: Total number of tickets currently held by customers.
    • Remaining: Number of tickets still available for purchase.
    • Revenue: Total earnings generated from ticket sales for that specific event.

Step 4: Managing All Events

Clicking the "All Events" sub-tab opens a full-screen management view. Here, you can toggle between Upcoming, Past, and Deleted events.

Columns in this view include:

  • Event: Displays the event thumbnail, name, location, and date/time.
  • Revenue & Tickets Sold: Financial and volume performance.
  • Actions: Here you can edit, duplicate or delete an event using the three action buttons.

Now click the +Add New Event button.

Click the "Add New Event" button on the Events tab to open the configuration form. Complete the following fields:

FieldPurpose
WHO CAN ATTEND?Toggle between 🌐 Public or 🔒 Private. By default, the event is set to Public. If you select Private, the event will not be listed publicly on Kayana Tickets and will require a PIN to access.
Event Name (required)The title of your event as it will appear to customers. Maximum 40 characters.
Category / Event Type (required)Choose the primary category from the dropdown: Concert, Conference, Workshop, Sports Event, Meetup, or Party.
StartsSelect the start date and time for the event from the date and time picker.
EndsSelect the end date and time for the event from the date and time picker.
Venue Name (required)The name of the physical location where the event is being held.
Venue Postcode (required)The postal code of the venue.
Venue Country (required)Select the country where the venue is located from the dropdown.
DescriptionProvide a description of the event for customers. This appears on the event page on Kayana Tickets.
Event Banner (required)Upload a high-quality banner image for the event page. This image also appears as the event thumbnail on Partner Admin and on the Kayana Tickets event listing. Click to upload or drag and drop. Supported formats: PNG, JPG, JPEG, GIF. Maximum file size: 5 MB. Recommended dimensions: 1200 × 600 px.
Artists — PhotoUpload an image of the artist.
Artists — Name (required)Enter the artist's name.
Artists — Category (required)Select the artist category from the dropdown: DANCER, SINGER, COMEDIAN, MUSICIAN, or SPEAKER.
Artists — Bio (required)Provide a biography or description of the artist.
+ Add ArtistAfter filling in all artist fields, click the + Add Artist button to add the artist to the event. Repeat to add multiple artists.
Publish EventOnce all fields are filled, click the Publish Event button at the bottom of the form to make the event live on book.kayanatickets.com.
