Setting Up Your Kayana 24″ & 32″ Self-Service Kiosk (SSK)

This guide walks you through everything you need to know to get your Kayana Self-Service Kiosk up and running — from what’s included in the box to powering on, accepting payments, and replacing the printer roll.
The steps below apply to both 24-inch and 32-inch Kayana Self-Service Kiosks.
What’s in the Box
Each Kayana Self-Service Kiosk pack includes:
- Kayana Self-Service Kiosk (24″ or 32″ screen)
- Built-in receipt printer
- Built-in QR code scanner
- Card terminal
- Printer cleaning brush
- Printer keys
- Power cable
Before setup, ensure all items are present.
What You Need Before Installation
Your kiosk requires the following to operate:
- Power connection
- Wired Ethernet connection
⚠️ The kiosk supports Wi-Fi, but a wired Ethernet connection is strongly recommended, as Wi-Fi can be unstable in busy environments.
Before installation day, ensure:
- A power socket is available at the kiosk location
- An Ethernet point is available at the same location
Getting Started & Account Setup
- Once the Kayana app is installed, the Kayana team will usually reach out to you.
- If you need assistance, email support@kayana.co.uk.
- Register your business on our Partners Platform
- After signing up, click the red box in the top-left corner to begin onboarding.
- Your account will be reviewed and activated.
- Once activated, your kiosk installation will be scheduled — typically within 7 days.
Installation Day
On installation day:
- A Kayana installer will confirm kiosk placement with you
- Installation and system checks usually take around 3 hours (depending on the number of kiosks)
- The installer will:
- Complete all physical setup
- Run test orders
- Ensure orders push correctly to:
- EPOS
- Order printers
- Kitchen Display Screens (if applicable)
- Walk you through kiosk usage and FAQs
Once testing is complete, your kiosk is ready for live use.
Switching On for First Use
- Ensure the Ethernet cable is connected
- Ensure the power cable is connected
- Switch the kiosk power switch to ON
- The screen will turn on and begin loading
Starting Self-Service Mode
- Once powered on, the kiosk will complete its startup process
- The Kayana Self-Service app launches automatically
- If it does not auto-launch, tap the app icon manually
- Your menu will load automatically
- Check the card terminal — it should display a cloud icon, confirming connectivity
Your kiosk is now ready for customers to place orders.
Connecting the Card Reader
Step-by-Step: Pairing the Reader
- Attach the reader
Plug the card reader into the kiosk using the USB cable
⚠️ Use the white-coloured USB port only - Power on the reader
Press the power button until the screen lights up - Allow location permissions
When prompted, allow location access — this is required for pairing - Wait for pairing
A “Setup” pop-up will appear
Discovery may take 5–6 seconds - Confirm connection
Once paired: - The disconnected icon disappears
- The reader is ready to accept payments
(Optional) You can confirm the connection via the kiosk’s secret settings screen.
Replacing the Printer Roll & Printer Troubleshooting
If the printer beeps or flashes red, it requires attention.
Replacing the Receipt Paper
- Use the printer key from your startup pack
- Insert the key into the round hole and turn to the right
- The front panel will open
- Replace the paper roll:
- Ensure paper feeds from the correct direction
- If the receipts print blank, turn the roll around
Cleaning the Printer (If Needed)
- If the red light continues flashing:
- Use the provided printer brush
- Gently clean between the blades
⚠️ Do not touch the blades — they are sharp
You’re Ready to Go
Once setup is complete, your Kayana Self-Service Kiosk allows customers to:
- Browse your menu independently
- Place orders quickly
- Pay securely by card
- Send orders directly to EPOS, printers, and kitchen screens
This helps reduce queues, speed up service, and improve order accuracy.
